Why does VegaERP need an opening position for this asset?

You try to post depreciation, or generate a DDPO return, and VegaERP refuses because one or more fixed assets are missing the record of how much depreciation was already posted in the previous system, before you opened your books here. Without that figure, the depreciation schedule would restart from the full purchase cost and depreciate years already expensed as a cost.

Several assets at once, when generating the DDPO return

An invalid entry

Vpisani začetni popravek vrednosti za to osnovno sredstvo ni mogoč. Začetnega popravka vrednosti osnovnega sredstva OS-014 (Tovorno vozilo) ni več mogoče spremeniti: zanj je bila že knjižena amortizacija ali pa je bilo odtujeno. Najprej stornirajte knjiženo amortizacijo oziroma odtujitev. (“The opening accumulated depreciation of asset OS-014 (Delivery truck) can no longer be changed: depreciation has already been posted for it, or it has been disposed of. Reverse that first.”)

Why this happens

Every asset’s depreciation schedule is computed from two things: its purchase cost, and how much of that has already been depreciated. For an asset you acquired in a previous system, VegaERP doesn’t know that second figure until you enter it yourself. If it defaulted to 0 without asking, every such asset would silently double-depreciate what the previous system had already expensed, and a DDPO return would carry the wrong tax base. So VegaERP would rather refuse the calculation until it has an answer, even when the answer is 0.

What to do

A missing opening position, for one or more assets

  1. Open the asset the message names (for several assets, open each one).
  2. On the asset’s form, open the Prenos od prejšnjega izvajalca (“Handover from a previous provider”) section.
  3. Enter Prenesena nabrana amortizacija (“Transferred accumulated depreciation”). If the asset was never depreciated before, enter 0; a blank field holds the depreciation back and stops you at this same requirement.
  4. Enter the date this depreciation was posted up to. The date cannot be before the asset’s purchase date.
  5. If needed, enter Prenesena davčno priznana amortizacija (“Transferred tax depreciation”) if it’s lower than the accounting figure; otherwise leave it blank.
  6. Click Shrani (“Save”).

An invalid entry

The message names four specific conditions; check them in order: the amount and the date must be entered together, the date cannot be before the purchase date, the amount cannot exceed the purchase cost less the residual value, and the tax figure cannot exceed the accounting figure.

This refusal is deliberately final, not just a warning you can click past: once depreciation (or a disposal) has been posted for an asset, every posted period’s accumulated depreciation and book value was already calculated from the opening figure, and those journal entries may sit in a period that’s now closed. The only way forward is to reverse the posted depreciation (or the disposal) first, only then can you correct the opening figure. Don’t look for a way around this; there isn’t one.

If you can’t fix this yourself

Entering an opening position can be done by anyone with access to the Expenses & Assets module. If you need to correct an opening figure on an asset that already has depreciation posted in a closed period, talk to your accountant before reversing it, since that can affect a return that’s already been filed.
