Attendance (QR check-in)

Employees scan a QR code at the entrance with their phone on arrival and departure. The scans are evidence for the daily hours grid: they fill in the arrival and departure times the ZEPDSV act requires and, if you opt in, derive worked hours. Attendance is evidence, not a gate: when a scan fails, you record the day by hand and payroll runs as usual.

Open the page

In the left menu choose Payroll, then Attendance under time and absences.

Create a site and print its QR code

  1. In the Sites card enter a Site name (for example office or warehouse) and click Add site.
  2. Click Show QR code next to the site, print the code and place it at the entrance.
  3. If the code leaks, click Rotate token. Every printed code for that site stops working; print the new one.

The employee scans the code with a phone. If not signed in yet, they sign in with a one-time link to their e-mail address (the same one used for payslips) and return to the check-in page. There they click Check in, and Check out when leaving.

The employee’s e-mail address must be recorded on their coworker record under Payroll. Without it the scan cannot find the employee, and the page tells them to report the arrival to HR.

Review attendance by day

The Attendance by day table shows, per employee and day, the first check-in, the last check-out and the rounded presence. A day missing one side of the pair (only a check-in or only a check-out) is flagged as incomplete.

Record a missed or failed scan by hand:

  1. Click Add event by hand.
  2. Choose the Employee, the Kind (check-in or check-out), the Date and the Time.
  3. Click Record. The event is marked as entered by you.

Apply attendance to daily hours

  1. Pick the month and click Apply to hours.
  2. Read the summary: how many rows were created, where an arrival or departure was filled in, and which employees were skipped.
  3. Click Open daily hours and check the grid.

What applying does:

  • Arrival and departure are written only where the daily row’s field is empty. A time someone recorded always wins.
  • Hours are derived only when Derive hours from presence is on, and only for days with no row or with a row the apply created that still has zero hours. Presence is capped to the contract’s daily hours.
  • If the month is already filed for an employee, nothing is written for them; the summary lists them as locked.
  • An employee whose hours are keyed monthly and who has no daily row this month is skipped while derivation is off. An empty daily row would replace their monthly hours with zero.

Applying the same month again writes nothing new.

Derivation settings

In the Derivation card switch on:

  • Derive hours from presence: applying creates the daily row with hours from presence.
  • Suggest work-from-home for unscanned days: a worked day with no scan is listed in the apply summary as a work-from-home suggestion. It is never written for you, because a home day changes the commuting reimbursement; confirm it on the daily hours grid.
  • Round presence to: presence is rounded to the nearest multiple of the chosen minutes.

Click Save settings.

Scans are personal data. The app keeps them for 24 months and then deletes them; the arrival and departure record the law requires stays in daily hours, where applying has already written it.
