Client import, setup profiles and pre-filing facts
When you take on several clients at once, import them from a list. The same list can set each client’s monthly fee, accountant, tags and VAT period straight away. A setup profile adds a chart of accounts, a default fee and an onboarding checklist. The facts each client must state before a first filing are then filled for all clients on one page.
Prepare the client table
- In a spreadsheet, prepare a table with a header row. Only the tax-number column is
required, for example
Tax number. - Optionally add columns the import recognises by name:

- A cell we cannot read never imports the row silently without it. The row is marked invalid with the reason next to it, so fix it before importing.
Import clients with a profile
- On the client list, click Uvoz strank (Import clients).
- Paste the table or upload it with Naloži datoteko (.csv, .txt) (Upload file).
- Below the box, check which columns we read. Each row lists the fee, accountant, VAT period, tags and migration source the import will set.
- Below the list, choose a Profil nastavitev (Setup profile) if every new client should get the profile’s chart of accounts, default fee and checklist. If you want no profile, leave Brez profila (No profile).
- Click the import button. A fee in the row wins over the profile’s fee, which wins over the firm’s default fee.
- For a created client where one of the extra steps did not land (for example the tags were not saved), a warning is shown under the client. The client is created anyway.
Edit a setup profile
- In the left menu, open Profili nastavitev (Setup profiles) and pick a profile, or click Ustvari predlogo (Create template).
- Enter Privzeti mesečni honorar (EUR) (Default monthly fee), choose Predlagano obdobje DDV (Suggested VAT period) and Kontrolni seznam uvajanja (Onboarding checklist). The checklist is one of the firm’s workflows.
- Click Shrani (Save). On a system profile the chart of accounts cannot be changed, but the profile settings can.
- Apply a profile to existing clients too: select them on the client list and choose Uporabi predlogo nastavitev (Apply setup template). The chart of accounts and the checklist are applied; the existing clients’ fee and VAT period stay as they are.
Fill the pre-filing facts
- In the left menu, open Podatki pred oddajo (Pre-filing facts). Each row is a client, and the columns are the facts you need before a first filing.
- A field is open for input only where the fact shows Manjka (Missing) and can be recorded here. Facts that show Navedeno (Stated) or Ne velja (Not applicable) are shown only; change them in the client’s settings.
- Type values, or paste a column from a spreadsheet into the first field: rows spread down the clients and columns across the fields.
- For the VAT period, a button suggests each client’s period from its profile. The suggestion is not recorded until you save.
- Click Shrani (Save). Each value is recorded on the client with you as its author and a note saying whether you typed it, pasted it or took it from the profile.
The same facts are on a client’s Uvajanje (Onboarding) page, in the Podatki pred prvo oddajo (Facts before the first filing) card. Fill them there for that client, and use the Vse stranke (All clients) link to return to the grid.
What success looks like
- New clients carry the fee, accountant, tags and VAT period from the table.
- Clients created with a profile have its chart of accounts and a started onboarding checklist.
- The pre-filing facts grid shows no field as Manjka (Missing), except those recorded on their own form.
Common issues
- A row is marked invalid because of the accountant. The name is not a member of the firm, or more than one member has it. Enter the accountant’s e-mail.
- The VAT period was not recorded. FURS lists the client as not VAT-registered, so no period is recorded.
- The VAT opening position or VAT schemes field cannot be filled. These facts need more than one value, so record them on the client’s page.
- The profile has no document categorisation rules. A profile does not hold them; set them up on the client.
